Group Personal Information Protection Policy

Basic policy
ICHINEN HOLDINGS GROUP (hereinafter referred to as "ICHINEN GROUP”), consisting of ICHINEN HOLDINGS CO., LTD., consolidated subsidiaries and affiliated companies, is deeply aware of the gravity of its social responsibility for properly and securely handling customer’s personal information that can be used to identify a specific individual such as the name, address, telephone number, e-mail address, gender and date of birth. ICHINEN GROUP promises to protect and highly respect customer’s personal information pursuant to the clauses below.
1. Acquisition of Personal Information
ICHINEN GROUP shall acquire personal information where necessary to carry out our work, and this information shall be acquired in a legal and just manner.
2. Purpose of the Usage of Personal Information

3. Safety Management Measures
ICHINEN GROUP takes appropriate measures as follows to prevent leakage, loss, or damage of or otherwise appropriately manage personal data.
(1)Formulation of Basic Policy
Formulating Basic Policy in order to ensure proper handling of personal information and to provide the contact information for inquiries and complaint processing.
(2)Development of Regulations Concerning the Handling of Personal Information
Formulating the ICHNEN GROUP internal regulations for handling of personal information and manuals concerning Act on the Protection of Personal Information that prescribe a handling method, a responsible person, assigned persons for each stage of handling, such as acquisition, use, preservation, provision, deletion, and disposal of personal information.
(3)Organizational Security Management Measures
Appointing a responsible person (chief privacy officer) in charge of handling personal information.
Establishing a system to contact and report to the chief privacy officer in the event of violations of laws and internal regulations, or acts that may violate laws and internal regulations.
Conducting periodical self-inspections to assess the handling of personal information and also conducting audits by other departments.
(4)Human Security Management Measures
Providing regular training to employees on matters to be considered when handling personal information.

4. Provision of Personal Information to Third Parties
ICHINEN GROUP, excluding the following cases, shall not disclose personal information to a third party.
(1)When ICHINEN GROUP has obtained a customer's own consent in advance.
(2)When ICHINEN GROUP is obligated to disclose the personal information by law or ordinance.
(3)When the personal information is necessary to prevent death, injury, or damage to property and it is difficult to obtain a customer's own consent in advance.
(4)When the personal information is particularly necessary for public health purposes or for the sound development of children and it is difficult to obtain a customer's own consent in advance.
(5)When ICHINEN GROUP is required to cooperate with a Japanese agency, a local public body, or an individual entrusted by such agencies and public bodies in its execution of its work that is necessary by law or ordinance and obtaining a customer's own consent in advance may impede the execution of the work.
(6)When the personal information is necessary for an outsourced contractor to carry out outsourced work and services (only with the presence of a contract, entered into in advance, including such term that states the outsourced contractor shall not use personal information provided by ICHINEN GROUP for any purpose other than to carry out the work or services outsourced by ICHINEN GROUP.
5. Joint Use of Personal Information
ICHINEN GROUP may jointly use the personal information of customers for the following purposes.

The name, address, telephone number, e-mail address, gender, date of birth, and other business information provided in application forms which any of ICHINEN GROUP retains.

6. Contact Regarding Personal Information
If ICHINEN GROUP receives a request for confirmation, correction, etc. of personal information from a customer, ICHINEN GROUP shall first confirm the identification of the requesting customer and then respond to the request without unreasonable delay.
7. Personal Information Compliance
When handling personal information, ICHINEN GROUP shall comply with the laws and ordinances as well as its in-house regulations regarding the protection of personal information. In addition, ICHINEN GROUP shall strive to constantly review and improve this policy.
